Strategy & Program Development

We facilitate strategic event design sessions that assess your current program and then reimages it as participant journeys are mapped. When complete, the design sessions birth a new, experiential-driven agenda, speakers and materials that are cohesive and designed to maintain participant engagement throughout the event. Mobile apps and marketing tools, such as event logo design, SWAG, banners, step and repeat, and customized meeting boxes for each attendee are integrated into the program development plan.

Site Selection & Contract Negotiation
Long before attendees arrive, the destination and venue choices make all the difference. Working with an industry insider that knows the city you are considering, the venue that meets your needs and the local attractions for exciting events and tours takes a lot of mystery out of the many decisions that need to be made even before you to get to the negotiation phase.
We manage the site selection process, author RFPs, and present all options to your organization for consideration so that you can make informed decisions. Take advantage of our relationships with properties in every region of the country. We will find the perfect venue for your event at no cost to you. Once the venue is selected, we negotiate the contract terms and prices suited to your event and organization. We review contracts as part of a full service agreement or on its own. Event Website & Registration
We work with stakeholders utilizing Cvent, Whova, EventBrite or your preferred platform to design an event website, that is 508 compliant. We generate save the date announcements, social media posts, name badges, letters of confirmation, room capacity reports and registration fees.

Travel Management
Facilitate speaker and participant travel with Concur or another integrated online travel system. We provide in transit traveler support and arrange for destination transportation. Your airline, car rental, and hotel providers discounts are negotiated and managed according to your organizational travel policy and budgets.
Financial Management
We monitor all costs related to the event ensuring that all obligations adhere to your authorized policy. Our detailed financial statements ensure that there are no surprises. We seamlessly receive, record and receipt funds and pay approved invoices promptly.

Food and Beverage
Food and beverage is often one of the largest expenses for events. We develop themes, negotiate costs, menu planning, receptions, banquets and coordination of all food and beverage events; ensuring consideration for attendees that have allergies or require meal accommodations.

Amid the current COVID-19 pandemic, we work with venues and partners that strictly adhere to the latest health protocols. We collaborate with properties to craft meals and plan for their safe distribution and consumption by participants.
